When you use our filing services, we collect information necessary to prepare and submit your Florida filing to the Division of Corporations. This information may include your business name, document number, entity type, federal employer identification number (EIN), principal address, mailing address, registered agent information, officer or director information, email address, and phone number.
We also collect payment information at checkout, which is processed securely by Stripe and is not stored on our servers.
When you visit our website, we automatically collect basic technical information such as your IP address, browser type, and pages viewed, used for site security and to understand aggregate traffic patterns.
How We Use Your Information
We use the information you provide solely to prepare and submit your filings with the Florida Division of Corporations, to send you order confirmations, filing receipts, and status updates, to respond to your support inquiries, and to fulfill ongoing subscriptions such as the Annual Filing Subscription or Registered Agent Service.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Payment Processing
All payment transactions are processed by Stripe, Inc., a third-party payment processor. SunFile does not store your card number or full payment details.
If you enroll in one of our recurring services — the Annual Filing Subscription or the Registered Agent Service — your payment method is stored securely by Stripe for auto-renewal billing. SunFile does not have direct access to that stored payment information. Stripe's privacy policy is available at stripe.com/privacy.
Data Security
We use industry-standard security measures, including SSL encryption for data in transit and access controls for data at rest, to protect your information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
Data Retention
We retain your filing information for a period reasonably necessary to provide our services, respond to inquiries, and comply with applicable legal, tax, and accounting obligations.
You may request deletion of your information by contacting us at hello@sunfilefl.org. Note that some information — such as records of completed filings and payment transactions — may be retained for legal and compliance purposes even after a deletion request.
Third-Party Services
Our service uses Stripe for payment processing, Amazon Web Services (AWS) for infrastructure and data storage, SendGrid for transactional email delivery, and Airtable for internal order management. These providers process data on our behalf under their own privacy policies and applicable data-processing terms.
Public Records Notice
Certain information you submit to us — particularly information required for Florida annual reports and reinstatements — becomes part of the public record once filed with the Florida Division of Corporations. This includes business addresses, registered agent details, and officer or director names and addresses. This is required by Florida law and is not something SunFile controls.
Your Rights
You have the right to access, correct, or request deletion of the personal information we hold about you. To exercise these rights, contact us at hello@sunfilefl.org. We will respond to reasonable requests within 30 days.
